Privacy Policy

This Privacy Policy explains how Gymnotes (“Gymnotes,” “we,” “us,” or “our”) collects, uses, stores, protects, and deletes information when you use the Gymnotes mobile application and related services.

By using Gymnotes, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

Depending on the features you use, Gymnotes may collect and process the following information:

Account information

When you create or use a Gymnotes account, we may collect:

Your name or display name;
Email address;
Account identifier;
Authentication information required to sign in securely.

Passwords are not stored in plain text.

Workout and fitness information

We may collect information that you enter into the app, including:

Workouts and workout plans;
Exercises;
Sets, repetitions, weights, distances, durations, and rest times;
Workout history and completion status;
Exercise notes and general workout notes;
Personal records and workout statistics.

This information is used to provide the app’s workout-tracking, history, statistics, and synchronisation features.

Device and technical information

We may automatically receive limited technical information, such as:

Device type and operating-system version;
App version;
Device or app identifiers;
IP address;
Diagnostic information, crash reports, and error logs;
App performance and interaction information.

This information is used to maintain app security, diagnose technical problems, improve performance, and prevent abuse.

Notification information

When you enable notifications, the app may process notification preferences and device notification tokens so that workout timers, rest-timer alerts, reminders, or other requested notifications can be delivered.

Information you choose to provide

We may also process information that you voluntarily send to us through support requests, emails, feedback forms, or other communications.

2. How We Use Information

We use collected information to:

Create, authenticate, and manage user accounts;
Save and synchronise workouts and exercise information;
Display workout history, statistics, notes, and personal records;
Operate workout timers, rest timers, and notifications;
Provide customer support;
Diagnose errors and improve the app;
Maintain the security and integrity of the service;
Prevent fraud, misuse, or unauthorised access;
Comply with applicable legal obligations.

We do not use personal or sensitive user information for purposes that are unrelated to Gymnotes functionality without providing appropriate notice and obtaining consent where required.

3. Sharing of Information

We do not sell users’ personal information.

We may share limited information with service providers that help us operate Gymnotes, such as providers of:

Hosting and cloud storage;
Authentication services;
Error reporting and crash diagnostics;
Email or customer-support services;
Push-notification delivery.

These service providers may process information only as necessary to provide their services to us and are expected to protect the information they process.

We may also disclose information where reasonably necessary to:

Comply with a law, regulation, legal process, or lawful government request;
Enforce our terms and protect our legal rights;
Detect or prevent fraud, security incidents, or harmful activity;
Protect the safety and security of users or the public.


4. Secure Data Handling

We use reasonable technical and organisational safeguards designed to protect personal and sensitive user information against unauthorised access, loss, misuse, disclosure, alteration, or destruction.

These safeguards may include:

Encryption of information during transmission using HTTPS/TLS;
Access controls and authentication mechanisms;
Restricted access to production systems and user information;
Secure password handling;
Server and application security controls;
Monitoring, backups, software updates, and security reviews.

No internet-based service can guarantee absolute security. Users are responsible for protecting their account credentials and should notify us if they suspect unauthorised access to their account.

5. Data Retention

We retain account information, workout information, notes, settings, and other user-provided content while the user’s Gymnotes account remains active or for as long as necessary to provide the service.

When a user deletes their account or submits a valid deletion request, the account and associated personal information will be deleted or anonymised within 30 days, unless a longer period is required for legitimate legal, security, fraud-prevention, dispute-resolution, or regulatory purposes.

Backup copies may remain in protected backup systems for up to 90 days before being automatically overwritten or deleted. Information retained in backups will not be used for ordinary business purposes.

Technical logs, security records, and diagnostic information may be retained for up to 12 months, unless they are required for longer to investigate security incidents, prevent fraud, comply with law, or establish or defend legal claims.

Aggregated or anonymised information that can no longer reasonably identify a user may be retained for statistical and service-improvement purposes.

6. Account and Data Deletion

Users may request deletion of their Gymnotes account and the personal information associated with it.

Delete your account inside the app

Open Gymnotes and go to:

Settings → Account → Delete Account

Follow the displayed instructions to confirm the deletion request.

Request deletion through our website or email

Users who cannot access the app may request deletion by emailing:

Use the subject line:

Gymnotes account deletion request

Include the email address associated with the Gymnotes account. We may request reasonable verification to confirm that the requester owns the account.

After verification, we will delete or anonymise the account and associated personal data within 30 days, subject to the limited retention circumstances described in this policy.

Deleting the app from a device does not automatically delete the user’s Gymnotes account or server-stored information.

Google requires apps that support account creation to provide both an in-app deletion path and a public web resource through which deletion can be requested. The web deletion method must not require the user to reinstall the app.

7. Data Stored Locally on the Device

Certain preferences, temporary workout information, timer information, or drafts may be stored locally on the user’s device.

Locally stored information may be removed by:

Using an available in-app deletion or reset function;
Clearing the app’s storage through device settings; or
Uninstalling the app.

Uninstalling the app does not delete information associated with an online Gymnotes account. Account deletion must be requested using the process described above.

8. Children’s Privacy

Gymnotes is not intended for children under the age of 13, or under the minimum age required to consent to data processing in the user’s country.

We do not knowingly collect personal information from children below the applicable minimum age. If we learn that such information has been collected, we will take reasonable steps to delete it.

A parent or legal guardian who believes that a child has provided personal information may contact us at thegymnotes@thegymnotes.com.

9. International Data Processing

Information may be processed or stored in countries other than the user’s country of residence. Where required, we use appropriate safeguards for international transfers of personal information.

10. User Rights

Depending on the user’s location, the user may have rights to:

Access personal information held about them;
Correct inaccurate information;
Request deletion of information;
Restrict or object to certain processing;
Receive a portable copy of information;
Withdraw consent where processing is based on consent;
Submit a complaint to an applicable data-protection authority.

11. Third-Party Links and Services

Gymnotes may contain links to websites or services operated by third parties. Their privacy practices are governed by their own privacy policies. We are not responsible for third-party websites or services that we do not control.

12. Changes to This Privacy Policy

We may update this Privacy Policy when the app, our data practices, or applicable legal requirements change.

The updated policy will be published on this page with a revised “Last updated” date. Where required, we will provide additional notice or request consent before materially different processing begins.
